The Planning could take months or even years.
To better understand why advanced planning is a must. You have to look at the BIG picture. Just in the Metro Atlanta area there are 30,000 plus weddings, and over 50,000 other type of events requiring entertainment or music a year. This means mix a few engaged couples, add a few thousand corporate events a hundred or so conventions, mix a few million birthday parties, holiday parties and social or family gatherings and the number becomes HUGH!
With everyone wanting the event planned for the prime day, Saturday, and only 52 of them in the year. Some venues and entertainers like iJAM Productions Inc. can only accommodate 52 events each year if your looking at saturdays. You aren't the only one getting married or planning an event for any given saturday. Most churches and reception halls are booked a year in advance and fill up quickly.

NOW THAT THE UNPLEASANTIES ARE BEHIND US!
Let's focus on what you should do first. There are 4 things you must do first and fast, and pretty much at the same time right away:
1. Choose the ceremony location church, temple, or other location, the date you want and a lodging location for out of town guests.
2. Choose the rehersal dinner and wedding reception location and date.
3. Choose your Master of Ceremonies (iJAM Productions Inc.) Photographer, Videographer and other event staff or coordinator.
4. Work on your invitations or marketing.
If you're not planning twelve months or more in advance be prepared to give up the date you have chosen for your special day unless you are fortunate enough to get the location by advance booking.
Most individuals think they can always just choose the day they get married or hold a major event. It is possible you may say "I dreamed of being married in the garden the second Saturday of May" or "My birth date this year in on Tuesday and I want a Saturday evening party" and on March 15th you were able to book exactly every vendor you wanted without any problems. However, in the majority of events being planned the client does not decide when your event is, availability of your preferred event location does.
Other clients have the location that day, or the hotel is already booked, or the minister who promised to marry you is booked for the baptismal he promised another couple, so you might narrow it down to 3 or 4 possible dates where both venues are available for you.
Waste no time doing this as many other brides and corporations are doing the same thing, booking appointments first thing on Saturday morning to visit, get a contract, leave a deposit, and then reserve the hotel. (In the clients only area you can download the forms to reserve a hotel and not have financial responsibility)
It's also crucial to book other vendors quickly too, the top vendors are always booked at least seven to eighteen months in advance.
Book Early, Save Money and Have the Best!
So how does booking vendors twelve months or more in advance save you money?
Simple, most business during the beginning of the year are crunching numbers, working on spread sheets and simply getting ready for tax time.
This is the usual time for rate adjustments to reflect cost of living increases and balance of profit and loss statements. By booking the year prior your event you have locked into the previous year's rate for services offered.
Locations such as banquet halls and hotels usually don't offer menus for the next year until after a certain date; however, you can negotiate a fixed hall rental and block a group of rooms at a specific rate for a specific time. |
